Turning a Manual Workflow Into a Scalable, Self-Managed Operations Platform

Bella’s Bakery needed more than a website—they needed a central operations hub. As the UI/UX designer, my role was to build a modern, intuitive admin dashboard that empowers employees, distributors, and administrators to update products, track orders, manage inventory, and coordinate operations without relying on a developer.

The Problem

A Growing Business Without a Unified Digital System

Bella’s Bakery managed operations through scattered tools, manual communication, and developer-dependent updates. Employees had no easy way to update product details, manage stock, or monitor orders. Distributors relied on slow communication loops, and administrators had no centralized overview of business performance.

Limited Operational Visibility

Customers and employees lacked a single system to view orders, track inventory, or monitor sales trends efficiently.

Developer-Dependent Updates

Simple tasks like editing product details or updating stock required technical help, slowing down day-to-day operations.

Fragmented Communication

Distributors, employees, and admins worked through separate channels, often causing delays, errors, and misalignment.

Designing a Centralized, Role-Based Dashboard for Admins, Employees, and Distributors

The goal was to create a unified platform where every role could manage their responsibilities independently. I structured user flows for admins, bakery staff, and resellers, designed a clear information hierarchy, and prioritized simplicity for non-technical users. This approach ensures fast updates, smooth collaboration, and future scalability for new features like automated reporting and product syncing.

Understanding Operational Needs Across Three User Types

The dashboard needed to support three perspectives:


  • Admins overseeing the entire bakery’s performance
  • Employees managing products, stock, and content
  • Distributors/Resellers tracking orders, shipments, and product availability


By identifying overlapping tasks, workflow gaps, and pain points, I created a system where each role has what they need—without overwhelming the interface.

A Modular Interface Built for Simplicity and Scale

The dashboard is organized into clear modules:


  • Orders
  • Products
  • Inventory
  • Store Content
  • Statistics
  • Settings & Permissions


Each module uses a consistent layout and visual language, making it easy for users to understand new features instantly.

Creating a Calm, Data-Driven Interface With a Human Touch

The UI blends warm neutrals, soft shadows, and bakery-inspired tones to keep the interface welcoming. Components like tables, badges, and cards were optimized for quick scanning, making it easy to spot stock changes, order statuses, or customer trends.

Empowering the Bakery Team Through Self-Managed Tools

The dashboard empowers the bakery team with self-managed tools that remove the need for constant developer support. Employees can update product details, adjust pricing, manage availability, and monitor inventory levels in real time. Orders are organized into clear categories—like in-transit, delivered, and reseller—giving the team instant visibility and reducing communication gaps across roles.



Admins also gain control over the bakery’s public-facing content, from homepage banners to FAQs and gallery images. Combined with performance analytics that surface sales trends and customer activity, the system gives every user—admin, employee, or distributor—a clear, data-driven overview of daily operations.
